Terms and conditions of participation

1. General
The Research Institute for Automotive Engineering and Powertrain Systems Stuttgart FKFS, Pfaffenwaldring 12, 70569 Stuttgart organizes various conferences and congresses. Registration for these events is subject to these general terms and conditions. Agreements to the contrary must be confirmed in writing by FKFS.
FKFS reserves the right to adapt the event format to the regulations in force at the time of the event and to hold the event in a different format than originally planned.
 
2. Registration and confirmation
You can register via the registration portal, by e-mail or by mail. Upon receipt of your registration, you will receive a written confirmation of registration. Your data will be stored electronically in a database for internal purposes. They will not be passed on to third parties.
 
3. Cancellation of the participant
If the cancellation is made up to four weeks before the start of the event, a processing fee of € 50.00 will be charged. If the cancellation is made up to 14 days before the start of the event, a processing fee of 50% of the invoice amount will be charged. Thereafter, the processing fee will be equal to the amount of the registration fee. The same applies if the participant does not attend the event. The cancellation declaration must be made in writing. The date of the postmark is decisive for meeting the deadline. We will gladly accept a substitute participant at no additional cost. This does not apply to student tickets.

4. Cancellation of the organizer
In case of short-term cancellation of a speaker due to force majeure, illness or accident as well as other circumstances for which the FKFS is not responsible, another qualified speaker will be appointed under exclusion of any claims for damages. The FKFS reserves the right to definitively cancel the event for organizational or technical reasons, such as failure to reach the minimum number of participants, force majeure or other circumstances for which the FKFS is not responsible. Your already paid participation fees will then be refunded. There is no further claim for reimbursement of expenses.
 
5. Participation fee and terms of payment
We ask for payment within 14 days after receipt of the invoice. The participation fee for the overall conference includes access to all events on both days, the conference documentation, daily lunch at the conference venue and drinks during breaks, and participation in the festive evening reception. When booking a day pass, access to all events is limited to the day in question. Students and doctoral candidates are excluded from receiving the conference documentation and participation in the evening reception. The remaining services remain unaffected by this restriction.
 
6 Copyright
The congress documentation may neither be reproduced nor passed on to third parties without the written consent of the FKFS. Audio and video recordings of the event are not permitted.
 
7. Film and photo recordings
Photographers commissioned by the FKFS will take pictures of the event as well as of the participants and speakers. Pictures and films on which participants can be seen in part or in whole are the property of the FKFS and may be used in publications. A revocation against the use is possible at any time, but is only valid for all future publications, not for publications that have already taken place.
 
8 Applicable law and place of jurisdiction
German law shall apply. Place of jurisdiction is Stuttgart. These terms and conditions exist in German and English. In the event of any discrepancy or ambiguity, the German version shall be binding.
 
9. Other provisions
Should one or more provisions of the GTC be invalid in whole or in part, the remainder shall remain unaffected.

Terms and conditions of exhibition
 
  1. The venue of the trade fair is the Haus der Wirtschaft, List/Eythsaal, Willi-Bleicher-Straße 19, 70174Stuttgart. 
     
  2. The organizer is the Research Institute for Automotive Engineering and Powertrain Systems Stuttgart FKFS. 
     
  3. The fair will take place during the duration of the 24 Stuttgart International Symposium on Automotive and Engine Technology on July 02 and 03, 2024.
     
  4. Registration takes place by completing the online stand registration. With the order, the exhibitor bindingly declares his contractual offer and accepts the exhibition conditions of the organizer. After receipt of the order, the exhibitor will receive an automatic confirmation of registration. Further exhibitor documents for stand planning will follow in due time.
     
  5. Stand allocation is the responsibility of the organizer. There is no entitlement to admission and allocation of a specific stand. 
     
  6. Cancellation: The following cancellation deadlines and fees apply: from registration up to 3 months before the start of the event 50%, up to 2 months before the start of the event 75%. For cancellations at shorter notice, 100% will be charged.
     
  7. The stand material is rental material. It is only provided for the agreed time and purpose. Damage to the rental material caused by actions of the exhibitor or his vicarious agents, e.g. by nailing, gluing or drilling, shall oblige the exhibitor to pay for the damage incurred. 
     
  8. In the case of slightly negligent breaches of duty, the liability of the organizer is limited to the foreseeable, contract-typical, direct average damage. This also applies to slightly negligent breaches of duty by our legal representatives and vicarious agents. The organizer shall not be liable to companies in the event of slightly negligent breaches of immaterial contractual obligations. The organizer shall only be liable for the loss of or damage to exhibitor's items brought in by the exhibitor, which remain in the exhibitor's care, in the event of intent or gross negligence. It is recommended to insure the rented goods for the duration of the event. 
     
  9. The limitations of liability shall not apply in the event of bodily injury or damage to health attributable to the organizer or in the event of loss of life of the exhibitor or his vicarious agents.
     
  10. The obligation to observe all fire, building and trade police regulations, all accident prevention regulations of the employers' liability insurance association and all environmental protection regulations shall at the same time be deemed to be an obligation arising from the exhibition contract vis-à-vis the organizer.
     
  11. Liability of the exhibitor: The exhibitor shall indemnify the organizer against all disadvantages which may be caused to the organizer by third parties due to damaging actions of the exhibitor - regardless of whether these actions are negligent or intentional. 
     
  12. Payment: All prices are net, payable within the period stated in the invoice, but no later than two weeks before handover of the stand.
